RECORDING, CONFIDENTIALITY & AI USE POLICY
This Recording, Confidentiality & AI Use Policy (“Policy”) was published in July 2026. It is incorporated by reference into, and should be read alongside, our Terms of Service and our Privacy Policy. Capitalised terms not defined here have the meaning given in our Terms of Service.
1. WHY THIS POLICY EXISTS
Our Sessions involve proprietary coaching methodology, including the Beck Emotional Access Technique® (BEAT™), together with materials, frameworks, exercises, and feedback that EdgeMind Solutions Limited (“EdgeMind Solutions”, “we”, “us”, “our”) has developed. Sessions may be delivered live, in person, or via video-conferencing platforms such as Google Meet, Zoom, or Microsoft Teams, and may be recorded. This Policy explains what you may and may not do with any recording, transcript, or material arising from a Session, and specifically restricts the use of Artificial Intelligence tools with that material.
2. DEFINITIONS
- AI Tool – any generative artificial intelligence system, large language model, machine learning algorithm, chatbot, transcription or note-taking bot, or other automated tool capable of ingesting, analysing, processing, storing, or generating output from text, audio, image or video content, including but not limited to tools such as ChatGPT, Claude, Gemini, Copilot, Otter.ai, Fireflies, Fathom, and any similar current or future technology.
- Recorded Material – any photograph, video recording, audio recording, livestream capture, screen recording, or transcript of any Service, Session, class, coaching call, workshop or other interaction delivered by or on behalf of EdgeMind Solutions, whether created by EdgeMind Solutions or by a User, and whether created with or without EdgeMind Solutions’ knowledge.
- Our Content – our teaching materials, methodology (including BEAT™), scripts, worksheets, slides, session notes, frameworks, course materials, and any other proprietary material we provide to you or that you access via our Platform.
- Session – any class, workshop, coaching call, masterclass, or other live or recorded interaction we deliver to you.
- Third-Party Recording or Notetaking Bot – any automated software agent, plug-in, browser extension, or virtual participant that joins a live Session for the purpose of recording, transcribing, or otherwise capturing that Session, other than tools provided directly by EdgeMind Solutions.
3. HOW WE RECORD SESSIONS
- Some Sessions are recorded by us for quality, training, or — where you have separately consented under Section 20 of our Terms of Service — promotional purposes. Where a Session is delivered over Google Meet, we may enable Google Meet’s built-in transcription feature to produce a written transcript, for the same quality, training, and service-delivery purposes. Google LLC processes that transcript as our data processor, on our instructions — see our Privacy Policy for more detail. We do not use recordings or transcripts to train any AI model, and we do not permit Google or any other third party to do so either.
- Where we provide a video-conferencing link for a live Session (for example, a Google Meet or Zoom link), we may apply technical restrictions to that link and to any resulting recording, which can include view-only access, disabled download/copy permissions, expiring share links, watermarking, and disabled guest/quick access for unrecognised participants. These measures are provided at our discretion and are not a substitute for your obligations under this Policy.
- Where we make a Session recording available to you, it is provided for your own private, personal review only, on the terms set out in Section 4 below.
4. YOUR LICENCE TO RECORDED MATERIAL AND OUR CONTENT
- Any Recorded Material or Our Content made available to you is licensed to you on a personal, non-exclusive, non-transferable, revocable basis, solely for your own private review and use in connection with your own coaching, training, or development. This is not a licence to download, copy, redistribute, publish, resell, or use as an input to any AI Tool.
- If you attend a group Session, Recorded Material may contain the image, voice, likeness, or personal contributions of other Users. You must treat those contributions as confidential and must not disclose, redistribute, or use them for any purpose beyond your own private review, in accordance with Section 21(o) of our Terms of Service.
5. RESTRICTIONS ON RECORDING BY YOU
- Save where we officially provide you with a Session recording, you must not independently record, film, photograph, screen-record, screenshot, or otherwise capture any part of a Session — including via third-party screen-recording software (for example, OBS or QuickTime) or browser extensions — without our prior written consent.
- You must not invite, permit, or knowingly allow any Third-Party Recording or Notetaking Bot to join, observe, or capture any live Session, whether via calendar invite, meeting link, or otherwise, without our prior written consent. We reserve the right to remove, or refuse entry to, any such bot or unrecognised participant from a live Session at our sole discretion.
6. PROHIBITION ON USE OF AI TOOLS
- You must not, and must not permit or assist any third party to, input, upload, submit, transcribe into, or otherwise provide to any AI Tool any of the following, in whole or in part, without our prior express written consent:
- any Recorded Material;
- Our Content;
- any User Content belonging to another participant in a group Session; or
- any communication, feedback, or correspondence you receive from us or our staff, coaches, or trainers.
- This prohibition applies regardless of your intended purpose — including summarisation, transcription, translation, analysis, content generation, resale, or training, fine-tuning, or improving any model or system — and regardless of whether the AI Tool is free, paid, personal, or corporate.
- Providing Recorded Material or Our Content to an AI Tool passes it to a third-party technology company outside our control and, in our view, constitutes both an unauthorised transfer of our intellectual property and, where the material contains another person’s image, voice or personal data, an unauthorised disclosure of that person’s personal data for which you may be independently liable.
- This prohibition does not restrict your use of AI Tools generally — only your use of them with material that originates from us or from a Session. You remain free to use AI Tools for your own independent notes, reflections, or work product that does not draw on Recorded Material or Our Content.
- Where we grant express written consent under this Section 6, that consent is specific to the stated purpose, tool, and material, and is not a general or ongoing licence.
7. CONSEQUENCES OF BREACH
- A breach of this Policy is a material breach of our Terms of Service. Without prejudice to any other right or remedy available to us, a breach may result in immediate termination of your Account and Services without refund.
- We reserve the right to seek injunctive relief and damages, including in respect of any loss caused by unauthorised training of, or output generation by, a third-party AI Tool using our Content, and to be indemnified by you under Section 18 of our Terms of Service.
- Nothing in this Policy limits any other right or remedy available to us under our Terms of Service, at law, or in equity.
